The Role

Support the business by managing the day-to-day office operations, to ensure organisational effectiveness and efficiency in all areas.

Hours: 8am to 5pm Monday to Friday

 

Responsibilities

Office

  • Supports the Facilities Management and Front of House teams with the day to day running of the office and front of house areas.
  • To cover Reception holiday and sickness (training will be given).
  • Manage the events held on the client floor.
  • Assist the hospitality team to ensure best service to clients and staff, when necessary.
  • Provide support for events including furniture movements and room layouts.
  • Manage the creation and distribution of ID passes.
  • Manage the locker allocation spreadsheet for starters and leavers and clear lockers as required.
  • Ensures all machines (coffee/water taps etc) are working throughout the day and report break downs so call outs can be arranged.
  • Stock management (consumables, biscuits, drinks replenishment, coffee beans etc) and unpack deliveries.
  • Ensure storerooms are always tidy and presentable.
  • Ensure stationery areas/copy points are stocked, tidy and well organised.
  • Ensure franking machine/binding machine/ID pass machine are in good working order – with relevant consumables supplies available.
  • Manages incoming/outgoing post.
  • Assist with the compliance of health and safety regulations in our office to maintain a safe working environment.
  • Security reporting on a monthly basis.
  • Report building faults and all other Facilities/H&S issues.
  • Ensure your own fire steward and manual handling training is kept up to date.
  • Support with arranging staff headshots on a quarterly basis.
  • Support with the administration of business card ordering.
  • Liaise with contractors working on site.
  • Any other reasonable requests that fall under the Facilities remit, not listed but within reason, as requested by either the FE or FM.

Events

  • Manage the events spreadsheet for all client events held on the 7th
  • Organise chefs & furniture moving contractors if needed for the events.
  • Update global events calendars and accept/decline/manage request for rooms managed by reception only.
  • Setting up correctly for events, ensuring tablecloths, drinks etc. are organised before the event begins.
  • Liaise with landlord re visitors and catered events.

Skills and Experience

  • Confident with the ability to liaise effectively with a broad spectrum of internal and external stakeholders, colleagues, and suppliers.
  • An excellent team player, good at motivating people.
  • Excellent communication skills as well as excellent IT skills.
  • A flair for organising, motivating, and making things happen, keeping track of several different projects simultaneously and the ability to remain calm when under pressure or when things do not run as planned.
  • Knowledge of office management systems and procedures.
  • Excellent time management skills and ability to multi-task, prioritise work and be proactive.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office.
